The Office Administrator oversees general office administration, guest follow-up, next steps, and CityLight events. The Office Administrator ensures excellence within essential systems and works with the leadership team to develop and implement a clear pathway toward a sense of belonging, involvement, and spiritual growth. 



Duties and Responsibilities

Finances

  • Prepare and issue donation statements in January.

  • Records all receipts and credit card statements.

  • Assists Ministry Leaders in tracking ministry budgets.

  • Pays all bills.

  • Acts as liaison with the Treasurer and Governing Board.

  • Prepares for annual audit review and works with auditor.


Office

  • Inventories and orders various office, custodial, and other supplies as needed.

  • Ensures office equipment is properly maintained and services as needed.

  • In charge of facility maintenance issues at all locations and works with volunteers or outside vendors to keep the facilitates in good repair.

  • Keeps Operations Manual up to date.


Human Resources

  • Works with directors to prepare documents for staff interviews as needed

  • Updates job descriptions as needed.

  • Contacts applicants’ references and performs background checks required by the Church.

  • Onboarding of new staff

  • Explains and provides information on employee benefits and programs to employees and their supervisors. 

  • Covers all legal compliance for human resource federal and state requirements

  • Maintains employee records and paperwork

  • Keeps track of personal time off (PTO) and sick time.

  • Works with payroll ensure timely action.

  • Initiate 90-day reviews.

  • Maintenance of the church website and church management systems.


Guest Follow Up and Next Steps

  • Defines and implements processes for identifying, welcoming, and connecting new people.

  • Assist in developing and overseeing the implementation of our Next Steps (community involvemen and discipleship) along with monitoring effectiveness.

  • Creates, administers, and evaluates volunteer engagement/spiritual growth feedback surveys.

  • Promotes volunteer opportunities and maintains visibility into church-wide volunteer database. 

  • Equips/oversees volunteer-based connection team.

  • Coordinates and oversees the Connect Card process; documents connections in the church database; communicate follow-up needs to ministry staff.

  • Develops and executes events throughout the year including scheduling, promotion, and volunteer recruitment.

Requirements

  • Expresses full agreement with the Mission and Faith Statement of CityLight Church.

  • Initial 2 year commitment.

  • Fully committed follower of Jesus Christ

  • Champion of vision, values, and culture of CityLight Church

  • Respects confidentiality.

  • Has at least 3-5 years of office management experience, preferably in a non-profit.

  • Is proficient in Work, Excel QuickBooks and donor computer software programs.

  • Is very organized and handles stress well.

  • Experience in accounting practices, bookkeeping and payroll management.

  • Possess critical thinking and interpersonal skills.

  • Desire to work in a team-oriented, collaborative environment, but also able to work independently.

  •  Strong interpersonal skills that demonstrate genuine, godly humility in nurturing others and working in teams.

  • Ability to convey a positive, professional image.
